What We Built
The Employee Onboarding Agent handles the full lifecycle on WhatsApp. Onboarding: structured document collection → SA ID validation → PSIRA number logging → contract generation → signature confirmation. Induction: automated Day 1, Day 7 and Day 30 check-ins with the guard's direct supervisor notified at each milestone. Offboarding: triggered by a single WhatsApp message from the ops manager — the agent collects equipment return confirmation, records final shift date, and generates the UIF documentation request.

Every contractor entering site required a manual safety induction, document check and competency verification. With 80+ contractors per month, the safety officer was buried. Automated to WhatsApp.
A junior mining operation in Limpopo relied on a manual contractor induction process that took up to 2 days per contractor. The Mine Health and Safety Act (MHSA) requires documented induction before any contractor accesses the site — but with 80+ contractors per month, the safety officer was spending most of her week on paperwork instead of safety monitoring.

What We Built
The agent is triggered when a contractor is added to the upcoming-visitors sheet by the procurement team. It immediately WhatsApps the contractor requesting: SA ID, current CoF (medical fitness certificate), relevant competency certificates, and confirmation of their company's safety file number. All documents are received and logged before the contractor sets foot on site.
On arrival, the safety officer confirms via a single WhatsApp tap. The induction register is automatically updated. CoF expiry dates are extracted from the document metadata and a 30-day expiry alert is set. On departure, the agent fires an exit checklist to collect equipment return confirmation and access badge status.
