🧭 Employee Onboarding Agent
Security Firm, Johannesburg: Guard Onboarding Automated End-to-End

A mid-sized security company processing 40+ new guards per month was drowning in paperwork. PSIRA registration documents, SA ID copies, employment contracts, and uniform allocation forms — all collected manually via WhatsApp, then typed into spreadsheets by the operations manager.

The Problem

Each guard onboarding took 4 hours of ops manager time — collecting documents, chasing incomplete submissions, verifying SA IDs manually, creating contracts in Word, getting signatures, and filing everything. At 40 guards/month that was 160 hours — a full-time job.

Offboarding was equally manual: retrieving equipment, cancelling access, processing final pay, and issuing UIF documentation — all tracked on sticky notes.

✗ Before
4h admin per guard onboarded
Documents collected piecemeal over days
SA ID verified by eye — errors common
Offboarding tracked on paper
✓ After
24 min per guard — automated
All 8 documents collected in 8 min via WhatsApp
Luhn algorithm validates ID instantly
Offboarding checklist triggered automatically on resignation
What We Built

The Employee Onboarding Agent handles the full lifecycle on WhatsApp. Onboarding: structured document collection → SA ID validation → PSIRA number logging → contract generation → signature confirmation. Induction: automated Day 1, Day 7 and Day 30 check-ins with the guard's direct supervisor notified at each milestone. Offboarding: triggered by a single WhatsApp message from the ops manager — the agent collects equipment return confirmation, records final shift date, and generates the UIF documentation request.

"I used to come in Monday morning dreading the weekend's new starters. Now my phone shows me a list of completed onboardings. I didn't touch any of them."

⛏️ Junior Mining

🧭 Employee Onboarding Agent
Junior Mining Operation, Limpopo: MHSA Contractor Induction Automated

A junior mining operation in Limpopo relied on a manual contractor induction process that took up to 2 days per contractor. The Mine Health and Safety Act (MHSA) requires documented induction before any contractor accesses the site — but with 80+ contractors per month, the safety officer was spending most of her week on paperwork instead of safety monitoring.

The Problem

Contractors arrived on-site without pre-submitted documents. The safety officer would manually collect: SA ID, medical certificate of fitness (CoF), relevant competency certificates, and contractor company safety file reference. Documents were checked by eye, logged in a spreadsheet, and a physical induction register signed. The entire process averaged 4–6 hours per contractor — and compliance was inconsistent.

Offboarding (contractor exit) was essentially untracked — equipment returns and access deactivation happened verbally, with no formal record.

✗ Before
4–6h induction per contractor
Documents collected on arrival — delays
CoF expiry dates not tracked
No formal contractor offboarding
✓ After
2h induction — documents pre-collected via WhatsApp
All docs submitted before contractor arrives on-site
CoF expiry auto-alerts 30 days before
Exit checklist triggered on departure notification
What We Built

The agent is triggered when a contractor is added to the upcoming-visitors sheet by the procurement team. It immediately WhatsApps the contractor requesting: SA ID, current CoF (medical fitness certificate), relevant competency certificates, and confirmation of their company's safety file number. All documents are received and logged before the contractor sets foot on site.

On arrival, the safety officer confirms via a single WhatsApp tap. The induction register is automatically updated. CoF expiry dates are extracted from the document metadata and a 30-day expiry alert is set. On departure, the agent fires an exit checklist to collect equipment return confirmation and access badge status.

"We went from spending 2 days on induction admin to having everything complete before the contractor even drives through the gate. The DMRE audit was the first time I wasn't stressed about our induction records."

🧭 Customer Onboarding Agent
Cape Town Law Firm: Client Onboarding & FICA Automated

A 4-attorney boutique firm in Cape Town was spending a full day per week on new client onboarding admin — FICA document collection, conflict of interest checks, engagement letter drafting, and signature chasing. The paralegal was the bottleneck.

The Problem

New clients received a list of FICA requirements by email. Follow-up was manual. The engagement letter was drafted from a Word template, personalised by hand, sent as PDF, and followed up until signed — a process that regularly took 2–3 days and occupied 60% of the paralegal's week.

Staff offboarding (when associates left the firm) was equally manual — access revocation, file handover, and HR documentation were tracked on a checklist that was often incomplete.

✗ Before
2–3 days from inquiry to signed engagement
FICA documents chased via email manually
Engagement letters drafted one by one in Word
Staff exit process tracked on paper
✓ After
Under 4 hours — same day for most clients
FICA collected via WhatsApp — 100% completion

Durban Hardware Distributor: Dual Onboarding System — Clients & Staff

A Durban hardware distributor with a 60-person sales team and 200+ active trade accounts was running two broken onboarding processes simultaneously. Trade account applications took 4 days. New sales rep onboarding averaged 3 days of HR admin. The same WhatsApp system now handles both — with different document requirements and approval chains.

The Problem

Trade account applications arrived via email, fax, or in-person forms. Credit references were chased manually. The credit agreement was created in Word, posted or emailed, and returned for signature over several days. New sales rep onboarding required HR to manually collect employment docs, load payroll, issue equipment, and set up system access — all tracked in an Excel sheet that was always out of date.

✗ Before
4 days to activate a trade account
3 days new sales rep onboarding
Credit references chased by phone
Rep resignation process informal, access not always revoked
✓ After
Same-day trade account activation for straightforward applications
New rep onboarded in under 8 hours
Credit references collected automatically via WhatsApp
Resignation triggers automatic access revocation checklist

Pretoria Medical Group: Patient & Locum Onboarding on One Platform

A three-location medical group in Pretoria was losing 22% of bookings to no-shows and taking 2 weeks to credential and induct new locum doctors. The front desk handled all of this manually, leaving little time for actual patient care coordination.

The Problem

Patient onboarding was paper: intake forms handed to patients on arrival, incomplete information, no pre-visit collection. No-shows were 22% — an enormous revenue leak with no automated reminder system. Locum doctor induction required HR to manually: verify HPCSA registration, confirm scope of practice, collect indemnity insurance, issue access cards, and brief the locum on practice protocols. This took up to 2 weeks and often caused locums to start with incomplete documentation.

Gauteng Construction Contractor: Subcontractor Induction & Compliance Automated

A Gauteng construction company running 3–4 concurrent projects was managing 80+ subcontractors per project. Each required a Construction Health and Safety (CHS) induction, valid public liability insurance, COIDA registration confirmation, and competency certificates for all workers. The site safety officer was overwhelmed.

The Problem

Subcontractors arrived on site without complete documentation. The safety officer spent her first hours each morning checking documents, registering new workers in the induction register, and chasing missing certificates. Insurance and certificate expiry dates were not systematically tracked — expired certificates on-site were a real risk and a OHSA liability. Worker offboarding (project completion, early exit) was tracked on paper and often missed.

Insurance expiry not tracked — liability risk

Sandton IFA Practice: FICA & Advisor Induction Automated

An independent financial advisory practice in Sandton was handling FICA documentation manually and taking 3 weeks to fully induct new financial advisors into their compliance framework, systems access, and product training. Both were compliance risks.

The Problem

Client FICA: documents sent via email, incomplete submissions followed up manually, no consistent storage structure, expiry dates untracked. New advisor induction: FSCA competency verification, product training completion, compliance declaration, system access — all tracked in a shared Word document that was always out of date. Advisor offboarding (resignation or retirement) required manually revoking access to 6 different systems — a process that was sometimes missed entirely.

✗ Before
